  • Position will be part-time and 15 hours per week.  
  • Pay Range is $15-18/hr

Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our Church Office team! The focus of the role is to record income and pay expenses for the Heart of Jesus Catholic Area Faith Community (AFC) and its parishes, recognizing that these entities are autonomous corporations, but with a shared mission and some shared staff. At times, answering the phones and greeting visitors during your office hours may be required depending on office coverage. Duties

  • Manage day-to-day bookkeeping using Parishsoft Accounting and FamilySuite, including contribution entry, bill pay, expense tracking, and financial record reconciliation
  • Provide front desk support by greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Maintain organized filing systems for both digital and paper documents, ensuring easy retrieval of information
  • Data entry and maintaining accurate records for donations and billing purposes
  • Offer customer service support by addressing inquiries promptly and professionally via phone or email
  • Perform clerical duties including filing, photocopying, and managing office supplies to ensure a well-organized workspace

Experience

  • Experience in accounting or finance with preference given to experience in church accounting.
  • Possess excellent computer skills in word-processing, financial/accounting & spreadsheet software, and other programs to create documents and files.
  • Able to work independently.
  • Possess the ability to maintain a sense of order with strong organizational skills and attentiveness to details.
  • Effective analytical and problem-solving skills.
  • Recognize and maintain confidentiality.

Job Overview

We are seeking a dynamic and detail-oriented Communication Specialist/Administrative Assistant to join our team. In this vital role, you will support the Pastor and the Business Manager of the Heart of Jesus Area Faith Community (AFC) to develop, implement, and manage a comprehensive communication strategy that enhances engagement, promotes church events, and clearly articulates the parish or faith community’s mission across all print and digital platforms. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant team environment.

Responsibilities

  • Manage and/or create content on WeConnect Website and AFC Social Media Account.
  • Design, edit, and coordinate the printing of the weekly parish bulletin.
  • Create visually appealing graphics, flyers, posters, and banners for liturgical seasons, sacraments, and special parish events.
  • Ensure consistent branding, tone, and messaging across all communications.
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
  • Assist with filing and proofreading documents.
  • Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for clients and visitors alike.
  • Greet visitors and answer multi-line phone systems with professionalism and courtesy, demonstrating excellent phone etiquette.

Skills

  • Possess a solid understanding of the English language, good spelling, and legible writing skills and able to provide clear directions both written and verbally.
  • Must demonstrate evidence of good communication and proficiency in core technical platforms, including:
  • Content Management, WeConnect Websites
  • Design & Media: Canva, Microsoft Word
  • Communication: Mailchimp, Email, Catholic Social Media (Facebook, Instagram, YouTube).
  • Office Productivity: Microsoft Office Suite and Google Workspace.
  • Possess good people and learning skills.
  • Experience with office management systems, multi-line phone systems, and front desk operations.
  • Exceptional time management skills combined with the ability to handle multiple responsibilities efficiently.
  • Personal assistant or administrative experience is highly desirable to support executive needs effectively.
